Accounts receivable process automation means taking the order-to-cash workflow, the sequence of steps between raising an invoice and collecting the cash, and automating each step that is repetitive, rule-based, or slow when done by hand. The order-to-cash process, step by step

Automation in accounts receivable works best when you follow the flow rather than the feature list. Here is the sequence and what automation does at each step.

Step 1, Invoice creation

The manual pain: invoices raised by hand from orders, contracts, or timesheets, keyed into the ERP, prone to wrong amounts and delays. Automated: the system generates invoices from triggers in your ERP or billing system, shipment, milestone, subscription renewal, applying your tax and pricing rules. Amounts come from your system of record; nothing is invented. Human-in-the-loop: exceptions (unusual terms, manual credits) are flagged for review.

Step 2, Invoice delivery

The manual pain: invoices emailed one by one, no record of receipt, portal uploads forgotten. Automated: delivery by email, customer portal, or EDI, with delivery and open tracking so "we never got it" is verifiable.

Step 3, Payment receipt and cash application

The manual pain: payments arrive by ACH, wire, card, and check with remittance that does not cleanly match invoices; matching is slow and error-prone. Automated: incoming payments and remittance (bank feeds, lockbox, portal, emailed advice) are matched to open invoices, including partial, consolidated, and short payments. Each match carries a confidence score; high-confidence posts automatically, ambiguous goes to a person with candidates ranked. Human-in-the-loop: this is the step where review matters most. Nothing is force-matched.

Step 4, Collections and reminders

The manual pain: reminders depend on who remembers; some customers chased twice, others never. Automated: a configurable cadence sends the right reminder to the right contact before, at, and after due date, logging promises-to-pay and following up.

Step 5, Dunning and escalation

The manual pain: seriously overdue accounts handled inconsistently, escalations missed. Automated: policy-driven, sequenced escalation with credit-hold triggers and hand-off, all inside guardrails you define, all logged and reversible.

Step 6, Dispute and deduction handling

The manual pain: short-payments and disputes vanish into inboxes with no owner or reason logged. Automated: the reason is captured, linked to the invoice and supporting docs, and routed to a resolver with an SLA clock. Human-in-the-loop: resolution is human; the tracking and routing are automated.

Step 7, Reconciliation

The manual pain: breaks between what was collected and what the GL shows pile up to month-end. Automated: continuous reconciliation flags duplicates, misapplied cash, and orphaned credits as they occur.

Step 8, Reporting

The manual pain: DSO and aging numbers stale by the time they are compiled. Automated: live DSO, aging, and cash-forecast reporting on the same clean data the automation produces.
