What we build on Sage Intacct
- AP bill capture. A monitored AP inbox and vendor portal ingest PDF, scanned, and portal invoices into one intake.
- Extraction. Layered OCR and LLM extraction reads vendor, bill number, dates, line items, tax, and totals, with arithmetic validated so no amount is fabricated.
- AI dimensional coding. Proposes the GL account plus Intacct dimensions (department, location, project, class, and custom dimensions), learned from your history and validated against your live chart of accounts and dimension values.
- PO matching. Two-way and three-way matching against Intacct purchase transactions where you use them, with configurable tolerances.
- Approval routing. Models your approval tiers and delegation, driven from email or Slack/Teams, with every decision timestamped and attributed.
- Payment and reconciliation. Initiates payment after a permissioned approval and reconciles against the bill and bank feed.
- Exception queue. Human-in-the-loop review for low-confidence extractions, failed matches, and suspected duplicates.
Integration specifics
We integrate through the Sage Intacct API (the XML/web services API, with Intacct's newer REST capabilities where available), which exposes AP bills, vendors, GL accounts, dimensions, and payment objects for reading and writing. We authenticate with a dedicated web-services user under least-privilege permissions, read your chart of accounts and dimension values to ground the AI's coding, and write approved AP bills and payment records back as native Intacct transactions. Status synchronization runs through supported notifications or scheduled polling so Intacct and the automation stay aligned.
Design and development factors
Accuracy and human-in-the-loop. Confidence scoring gates every extraction, dimensional coding suggestion, and match. High-confidence, in-tolerance bills can post straight to Intacct; anything uncertain routes to the exception queue, and corrections retrain the models.
Security and SOX-friendly controls. Segregation of duties is enforced between capture/coding and approval/payment, no bill is paid without a permissioned approval, and every action writes to an immutable audit trail. We use a least-privilege web-services user and encrypt data in transit and at rest. Intacct's own audit-trail and role features complement this; certifications required for your engagement are confirmed per project.
Architecture. API-first against the Sage Intacct API, stable across releases and fully auditable. The LLM is constrained to reading and interpreting documents against your live Intacct data, never to generating financial values.
