Microsoft Dynamics Accounts Payable Automation
If your finance team runs on Microsoft Dynamics, whether Dynamics 365 Business Central in the cloud or Dynamics GP on-premises, your accounts payable process is probably still gated on manual invoice entry, PO lookups, and approval chasing. We are a custom AI development and integration agency. We do not resell an AP SaaS. We build AP automation directly into your existing Dynamics environment so extracted data lands in your ledger, matches against your POs, and posts through your controls, with accuracy safeguards and audit trails your finance and audit teams can stand behind.
This page covers what we build, the Dynamics integration surfaces we use for both Business Central and GP, how we design for accuracy and SOX-friendly controls, an illustrative timeline and ROI, and the questions finance leaders ask most.
What we build
We assemble AP automation from components scoped to your process and volume:
- Invoice capture with OCR + LLM extraction. Ingest invoices from email, PDF, and scans; extract header and line-level fields (vendor, invoice number, dates, amounts, tax, line items) with confidence scoring on every field.
- 2-way and 3-way PO matching. Match invoices against purchase orders and receipts, flagging quantity, price, and tolerance exceptions for review rather than silently posting them.
- AI GL coding to Dynamics dimensions. Suggest GL accounts and Dynamics dimension values (department, project, cost center) from vendor history and line context, with a human confirming before posting.
- Approval routing. Route invoices through your approval hierarchy based on amount, vendor, department, and matching status, with reminders and escalation.
- Duplicate and fraud detection. Flag duplicate invoices, suspicious vendor bank-detail changes, and anomalous amounts before payment.
- Payment and reconciliation. Prepare payment runs and reconcile cleared payments back against the ledger.
- Vendor onboarding. Structure and validate new-vendor data, with controls around bank-detail changes.
Integration specifics: Business Central and Dynamics GP
Dynamics is two very different platforms under one brand, and we integrate with each on its own terms:
Dynamics 365 Business Central (cloud / on-prem). Business Central exposes a modern REST API surface and standard OData/AL APIs for purchase invoices, vendors, dimensions, and journals, and can be reached through Dataverse and the Power Platform where an environment uses it. We authenticate via Azure AD / Microsoft Entra ID with OAuth 2.0, use scoped application permissions, and write back purchase invoices and journal entries through the supported endpoints.
Dynamics GP (on-premises). GP predates the modern API era, so integration typically goes through eConnect (its transactional integration layer), GP web services, or direct-but-controlled SQL access where required, depending on your version and hosting. We treat GP write-back conservatively, through supported eConnect transactions where possible, so we do not compromise the integrity of a system that many organizations run mission-critical AP on.
Across both, we handle authentication, scheduled and event-driven sync, and validated write-back, with reconciliation so your Dynamics ledger remains the authoritative system of record. This is the same discipline we apply across our accounts payable automation integrations.
Design and development
- Accuracy and human-in-the-loop. Every extracted field carries a confidence score. High-confidence, fully matched invoices can flow with light review; anything below threshold or with a matching exception is routed to a person. The system never invents amounts, every figure is extracted from the source document and validated against the PO and GL. No hallucinated values reach your ledger.
- Validation against PO and GL. Amounts, tax, and coding are checked against the purchase order and your chart of accounts before anything is proposed for posting.
- SOX-friendly audit trails. Every action, extraction, match result, coding suggestion, approval, and posting, is logged with who/what/when, giving your audit and controls teams a complete, immutable trail. Approval thresholds and segregation-of-duties rules are enforced in the routing logic.
- Architecture: API-first with RPA fallback. We build against documented Dynamics APIs wherever they exist (strongly preferred for Business Central). For GP or gaps where no supported API covers a step, we use a controlled RPA/eConnect fallback rather than leaving the process manual.
- Guardrails and security. Least-privilege scoped credentials, encryption in transit and at rest, secrets management, and confidence-threshold gating so automation escalates uncertainty instead of guessing.
Illustrative timeline
Representative phasing; actual duration depends on Business Central vs GP, volume, and data readiness.
| Phase | Focus | Typical duration |
|---|---|---|
| 1. Scoping & discovery | Map AP process, Dynamics version, APIs, controls | 1–2 weeks |
| 2. Capture & extraction pilot | OCR/LLM extraction with confidence scoring on live invoices | 3–5 weeks |
| 3. Matching, coding & routing | 2/3-way PO matching, GL/dimension coding, approval routing | 4–6 weeks |
| 4. Write-back & controls | Ledger write-back, audit trail, reconciliation, rollout | 3–5 weeks |
ROI (illustrative)
The following are illustrative industry ranges, not outcomes we have delivered, the company is new and we do not claim client results.
- Industry benchmarks suggest automated invoice capture and matching can substantially reduce cost-per-invoice and processing time versus fully manual entry.
- Typical AP automation programs target lower exception rates, fewer duplicate payments, and faster cycle time to capture early-payment discounts.
- Time savings typically come from removing manual keying, PO lookups, and approval chasing.
We instrument each deployment so you measure real cost-per-invoice, cycle time, and exception rates against your own Dynamics baseline.
Frequently asked questions
Does this work with both Business Central and Dynamics GP? Yes. We integrate with Business Central through its REST/OData and Dataverse surfaces and with Dynamics GP through eConnect and GP web services, adapting to your version and hosting. The AP logic (extraction, matching, coding, controls) is shared; the write-back layer is platform-specific.
Cloud or on-premises? Both. Business Central is commonly cloud-hosted and GP is typically on-premises or privately hosted. We design the integration and security model to match your deployment, including on-prem connectivity where required.
Is it secure and SOX-friendly? We build to a defensive posture, least-privilege scoped credentials, encryption, and secrets management, and log every action into an immutable audit trail with segregation-of-duties and approval thresholds enforced in routing. Whether your overall control environment is SOX-compliant is determined with your auditors; we build to support their requirements.
Do you support 3-way matching? Yes. We match invoices against both purchase orders and receipts, applying your tolerance rules and routing exceptions to a reviewer rather than auto-posting mismatches.
How long does implementation take? Discovery is usually 1–2 weeks, a capture pilot 3–5 weeks, and full matching, coding, routing, and write-back another several weeks, see the timeline above. Exact duration depends on Business Central vs GP, volume, and data readiness.
How we work
- Scoping call to map your AP process, Dynamics version, API surfaces, and control requirements.
- Discovery and data audit to confirm invoice sources, PO/GL structure, and dimension usage.
- Pilot on live invoices, integrated with your Dynamics environment, so you see real extraction and matching accuracy before committing further.
- Measure and expand using instrumented cost-per-invoice, cycle time, and exception metrics against your baseline.
- Handover and support with documentation, monitoring, and control sign-off support for your audit team.
Security and compliance posture
We design AP automation to withstand audit scrutiny: scoped least-privilege access to Dynamics, encryption in transit and at rest, managed secrets, immutable audit logging of every automated action, enforced approval thresholds and segregation of duties, and confidence-threshold gating so uncertainty escalates to a human instead of posting silently. No amount is ever fabricated; every figure traces to a source document validated against your PO and GL.
